At TNV Certification Private Limited, we are dedicated to delivering high-quality ISO certification services that meet the needs and expectations of our clients. We understand that there may be circumstances where you need to cancel your certification application or request a refund. However, due to the nature of ISO certification services and the various stages involved in the audit process, we have established clear guidelines to protect the integrity of our services and ensure transparency in handling cancellations and refund requests.
This policy outlines the conditions under which cancellations and refunds are considered, along with the procedures for making such requests. Please review this policy carefully to understand your rights and responsibilities.
Clients may cancel their certification application at any stage of the process. However, eligibility for refunds depends on the timing and progress of the certification process as outlined below:
1. Pre-Audit Cancellation
If a request to cancel your certification application is made before any audit or assessment has been initiated, you may be eligible for a partial refund. The following conditions apply to pre-audit cancellations:
• Administrative Fees: A portion of the fees paid will be retained to cover administrative and processing costs incurred during the initial stages of your application.
• Refund Amount: The remaining balance, after deducting administrative and processing fees, will be refunded to you.
2. Post-Audit Cancellation
Once the audit process has commenced, including the planning and execution of the initial assessment or any subsequent audit activities, cancellations will not be eligible for refunds. The reason for this is the extensive work and resources already dedicated to the audit, including auditor time, travel expenses, and data collection. This applies to the following stages:
• Stage 1 Audit: No refunds will be provided after the commencement of the Stage 1 Audit, which involves the review of documentation and preparation for the on-site audit.
• Stage 2 Audit: If the on-site audit (Stage 2) has started, all fees are non-refundable, even if the certification is not completed or granted due to non-compliance or failure to meet ISO standards.
Refunds are generally limited due to the nature of the certification process, but in certain cases, partial refunds may be granted based on the following criteria:
1. Before the Audit Begins
If you cancel your application before the audit or assessment has been initiated, a partial refund may be considered. The amount refunded will be based on the following:
• Deduction of Administrative Fees: As mentioned, administrative fees will be deducted from the total amount paid. These fees cover activities such as preliminary document reviews, application processing, and correspondence with your organization.
• Processing Time: Refunds will be processed within 14 working days from the date of approval of your request.
2. After the Audit or Certification
No refunds are provided once the audit has been completed or the certification has been issued. However, if you are dissatisfied with any aspect of the audit process, we encourage you to reach out to our team. We will review your concerns and strive to resolve any issues to ensure that the audit was conducted fairly and in line with ISO guidelines. Please note, dissatisfaction with the audit outcome does not entitle clients to a refund, as audits are objective evaluations of your organization’s compliance with ISO standards.
TNV Certification reserves the right to make changes, adjustments, or modifications to its services and certification processes as necessary. These changes may occur due to updates in ISO standards, changes in accreditation requirements, or shifts in regulatory frameworks.
In the event of a significant change to the services provided, we will notify affected clients and, where applicable, offer the option to adjust the scope of the audit or reschedule services. If the changes materially affect the nature of the certification you applied for, we will work with you to determine an appropriate course of action, which may include a refund or credit for future services.
If you wish to request a refund or cancel your certification application, you must submit your request in writing to info@isoindia.org. Please include the following details in your request:
• Name of your organization
• Certification application reference number
• Reason for cancellation or refund request
• Stage of the certification process (if applicable)
• Any relevant supporting documentation (if applicable)
Once your request has been received, we will acknowledge receipt and begin the review process. Our team will respond within 14 working days with a decision on your request and any further steps you need to take.
If you are not satisfied with the outcome of your refund or cancellation request, you have the right to escalate the matter. You may do so by contacting our customer service team at info@isoindia.org, providing additional information or clarification for further review. Our goal is to resolve any disputes or concerns in a fair and transparent manner.
