The first thing that must be considered is
who is actually going to read the report and what action they will be required
to take as a result. In order to take
action it is essential that all who need to read such a report can understand
the problem it refers to.
The company’s management representative and
the management of the department concerned are obvious choices as they will
most likely be the people who have to take the corrective action.
The Lead Auditor will normally also discuss
each individual non-conformance report with these people at the daily review or
closing meeting. Hence any clarification
required can be dealt with verbally.
However, there are also a number of other
people who will read the report but may not be in a position to receive verbal
clarification from the Lead Auditor.
Therefore it is essential that the Lead
Auditor ensures every non-conformance report raised by the team is both factual
and explicit in order to meet the possible needs of the following:-
The management of the company being audited
The auditor’s management
Colleagues who may have to verify that
effective corrective actions have been taken
Auditors should avoid expressing their
personal opinions and above all avoid appearing petty or pedantic.
